Who we are
United Motorsports Academy (UMA), Navi Mumbai, India. We decide what happens to the details this portal keeps. Questions, requests and complaints go to info@unitedmotorsportsacademy.com.
What the portal keeps, and why
| Detail | Why, and for how long |
|---|---|
| Your name and email address, your role (member, staff or admin), and whether you are still on the list. The UMA team puts these on the list; the portal never asks you for them. | To let in the people on the list and nobody else, and to send each sign-in code to the right address. Kept while you are on the list. If you leave, your entry is marked as removed and stays as long as the record below still names you. Once it no longer does, about 13 months after you were taken off the list, your name and email address are erased. |
| A short member code, eight letters and digits | It is printed, with the date, across every page you look at, so a photographed or passed-on page says whose screen it was. The code is not your name: only the UMA team can tell whose it is. It stays after your name and address are erased, with no detail that names you, because the log of the UMA team's actions below names members by it for its two years. |
| Your computer: the public half of a key your browser makes when you first sign in, a short description such as "Chrome on Windows", and when it was first and last used | Each membership opens on one computer. The private half of the key stays inside your browser and never leaves it. Kept with your entry, also after the UMA team releases the computer, so that the record can still say which computer it was, and erased with your name and address. |
| Each sign-in code: your email address, a one-way keyed code made from the sign-in code, when it was asked for, and how many tries were made | To check the code you type, and to limit how many codes one address can ask for. A code works for ten minutes. These lines are deleted after two days. |
| Each sign-in: when it began, when it was last active, when it ended, and on which computer. The cookie that keeps you signed in is stored only as a one-way code | To keep one sign-in at a time and to end sign-ins that have gone idle. Kept for about 13 months (400 days) after the sign-in was last active, then deleted. |
| The record: when you signed in, which document you opened or saved, and when a screenshot, print or developer-tools key was pressed, with the computer and the time | To find out how material got out, if it ever does. Documents are named in it by a number only. UMA's admins can see the record on the portal, with names, and the UMA team can read it from its own computer. Kept for about 13 months (400 days), then deleted. |
| A one-way keyed code made from your network address | To limit how many codes one network can ask for, so the portal cannot be flooded. It cannot be turned back into the address. Deleted after two days at most. |
| A log of what the UMA team did on the portal, and of each time it or an admin read the members list or the record. It names a member by their member code, never by email address | To show who did what, and to investigate misuse. Kept for two years, then deleted. |
| If the mail service refuses to send a code, the reason it gave | So that the UMA team can fix the fault. Kept until the next refusal replaces it. |
The deleting is done by a clean-up that runs at most once an hour, whenever somebody signs in, so a line can outlast its time for as long as nobody signs in.
The material itself is encrypted on the UMA team's computer before it is put online, and only a signed-in member's browser can open it. The portal holds no titles of the material, no passwords and no payment details. There are no advertising or analytics trackers on these pages, and we do not sell or share your details for marketing.
What stays in your browser
Your browser keeps the key that registers your computer, in its storage for this site, until you clear the site's data. The sign-in cookie lasts only until you sign out or close the browser. A page you are reading is opened in the browser's memory and is not saved to your disk; a data file you choose to save is an ordinary file from then on.
Who handles your details for us
- Cloudflare runs this website and keeps its database, on servers that may be outside India. Like any website host, it also sees your network address with every request.
- Brevo sends the sign-in codes by email, from servers in the European Union. It is given your email address and the code.
Your rights
- To ask what details the portal holds about you, and to have them corrected or completed: write to us.
- To stop using the portal at any time, and to ask us to take you off the list and erase your details. We take you off the list at once, so nobody can sign in as you. The record of your sign-ins and of what you opened stays until its 13 months are up, because the rules on personal data ask us to keep such logs for a year; your name, your address and the record of your computer stay with it until then, so that it still says whose it was. Once the record no longer names you, about 13 months after you were taken off the list, they are erased. Only your member code is kept, with nothing that names you, because the log of the UMA team's actions names members by it for its two years.
- To name someone who can use these rights for you if you cannot.
- To complain to us. We reply within 30 days. If you are not satisfied, you can complain to the Data Protection Board of India, set up under the Digital Personal Data Protection Act 2023. Ask us and we will send you the Board's current address.
If something goes wrong
If your details are ever exposed, we will tell you and the Data Protection Board of India without delay, and say what happened and what you can do.
